Stores, Shipping & Procurement Support Administrator
Key Responsibilities
Stores & Shipping
- Support day-to-day stores operations, including goods receipt, packing, storage, stock control, and material issuing
- Ensure accurate picking and kitting of materials to meet production schedules
- Maintain inventory accuracy through regular cycle counts and stock reconciliation
- Coordinate and process domestic and international shipments, ensuring timely dispatch
- Prepare and review shipping and export documentation (e.g., commercial invoices, packing lists, customs paperwork)
- Develop and maintain knowledge of import/export regulations, duties, and compliance requirements
- Liaise with freight forwarders and logistics providers to ensure efficient and cost-effective delivery
- Track shipments and resolve any delays or issues proactively
Procurement Support
- Expedite all open purchase orders to ensure all incoming materials are delivered on time
- Raise purchase orders and support procurement activities in line with production requirements
- Communicate with suppliers to confirm lead times, order status, and delivery schedules
- Support supplier performance monitoring and ensure timely delivery of materials
- Assist in maintaining accurate procurement and supplier records
- Proactively engaged with suppliers to resolve any non-conformity issues
Manufacturing & Operational Support
- Work closely with production to ensure materials are available when needed, minimising downtime
- Support production scheduling by prioritising urgent material requirements
- Ensure all materials issued meet quality and specification requirements
- Contribute to improving stores and logistics processes to enhance efficiency and accuracy
- Support the control of non-conforming materials to prevent cross-contamination or shipping of defective products
Skills & Experience
Essential
- Experience in a stores, logistics, or supply chain roles within a manufacturing environment
- Strong attention to detail, particularly in material picking, inventory control, and documentation
- Experience coordinating or supporting shipping and dispatch operations
- Ability to work to tight deadlines and prioritise effectively
- Good understanding of stock control systems and processes
- Strong organisational and communication skills
- Forklift Licence or willingness to be trained
Desirable
- Experience with import/export processes and international shipping documentation
- Familiarity with customs regulations, tariffs, and compliance requirements
- Experience supporting procurement or purchasing activities
- Knowledge of ERP/MRP systems, preferably Insight 123
